1. Who we are
This policy covers usssamvp.com, the website for the USSSA MVP Games — including the MVP nomination form, event registration, merchandise ordering, and the emails and text messages we send about those things.
In this policy, “we” and “us” mean the organizers of the USSSA MVP Games.
2. Information we collect
MVP nominations
When a parent or guardian registers an MVP nomination, we collect:
- The player’s first and last name, age division, team class, and team name
- The event the player was nominated at, and why they were nominated
- A photo of the player, which must show the MVP tag
- Optionally: date of birth, jersey number, position, and hometown
- The parent or guardian’s email address and mobile number, and optionally their name
- Whether permission was given for the nomination to be published
We also automatically record the IP address and browser information of the device used to submit a nomination. Anyone can scan an MVP tag’s QR code, so we keep this to detect duplicate and fraudulent submissions. It is not used to track you around the internet.
Event registration
Player and guardian details for players registered to our events. Some of this reaches us from USSSA’s own registration system rather than directly from you.
Merchandise orders
Name, email address, phone number, order details, and — where an order is shipped — a delivery address. Payments are processed by Stripe. We never receive or store your card number.
Messages we send
Records of the emails and texts we send you, including whether they were delivered, opened, bounced, or opted out of. This is how we honor unsubscribe requests and stop messaging people who have asked us to.
3. Children’s privacy
We do not knowingly collect personal information directly from children under 13. The nomination form is addressed to, and must be completed by, a parent or guardian, who confirms that role when they submit it.
A player’s information is published only where their parent or guardian has given the media-use permission described in section 4. If you believe a child’s information has been given to us without a parent or guardian’s involvement, contact us using section 11 and we will delete it.
4. Publishing nominations
The point of an MVP nomination is recognition, so nominations are published publicly. When a parent or guardian ticks the media-use permission box, they agree that we may publish the player’s name, team, age division, hometown, the reason for the nomination, and their photo:
- On our Facebook Page and other USSSA social media accounts
- On a public nomination page on this website
- In promotional and marketing material for the MVP Games and USSSA
Posting to our Facebook Page happens automatically when a nomination is submitted with that permission. We do not publish a nomination where the permission was not given.
Changing your mind: contact us and we will remove the post from our Page and take down the public nomination page. Please be aware that anything already shared, screenshotted, or re-posted by other people is outside our control, and that search engines may hold a copy for a period afterward.
5. How we use information
- To record nominations and invite nominated players to MVP events
- To publish nominations, where permission has been given
- To email and text parents about nominations, registration, and events
- To take and fulfill merchandise orders
- To detect duplicate or fraudulent nominations
- To run and improve our events
We do not sell your personal information.
6. Who we share information with
We share information with the service providers who make the site work. Each receives only what it needs to do its job:

We also share information with USSSA in connection with sanctioning and running events, and we may disclose information where the law requires it or to protect the safety of participants.
7. Cookies
We use no advertising or analytics cookies, and we do not track visitors across other websites. The only cookie we set is a sign-in cookie for event staff using the admin portal.
8. Security
Data is transmitted over encrypted connections and stored with the providers listed above. Access to the admin portal requires a password and is limited to event staff. No system is perfectly secure, and we cannot guarantee absolute security.
9. How long we keep information
Nomination and registration records are kept for as long as needed to run the MVP Games and to maintain a record of past events. Order records are kept as long as required for accounting and tax purposes. You can ask us to delete your information sooner — see section 10.
10. Your choices and rights
- Email: every email we send has an unsubscribe link.
- Text messages: reply STOP to any text and that number is removed.
- Withdrawing publication permission: contact us and we will take the post and the public nomination page down.
- Access, correction, and deletion: contact us and we will act on reasonable requests, and will always do so where a child’s information is concerned.
We run events in multiple states, and several states give their residents additional privacy rights. Contact us and we will honor any right that applies to you, wherever you live.
